The Executive Assistant, Europe Southern Cluster is responsible for a wide range of activities for the Sc. Johnson Southern Cluster Team being based in Arese, Milano.

The core activities are linked to Vice President support in managing his own agenda and critical local and international meetings and Management Committee support in organizing local and international meetings preparing presentations, agendas, and the relative meeting logistic.

Other activities include management of HR and Vice President budget and company associations, organization of commercial convention and international visits, HR team support for training plans and employer branding events, role of super user expense notice tool - Concur system and welfare platform.

Based on the candidate experience, the person could be also responsible for the Safety regulations of the Italian office.

Essential Duties and Responsibilities:

  • Supporting the Vice President of Southern and Western Cluster and the Management Committee of Southern Cluster: presentation support, agenda management also in case of international travels and the relative logistic;
  • Managing HR and Vice President budget: tracking expenses, first point of contact for new vendors and invoice check with the Shelf Service Center in UK;
  • Managing company associations: enrollment, maintenance and renewals;
  • Organizing commercial convention and international events;
  • Supporting HR team in delivering training plans, being a crucial point of contact for our external partners and coordinator of all the employer branding events;
  • Super user of the expense notice tool for the Italian site – Concur: responsible for training new employees and point of escalation for exceptional issues;
  • Managing local company welfare platform being the first point of contact for our people and external vendor;
  • Managing company PEC e-mail address.

Required Skills / Experience / Competencies:

  • Minimum 5 years’ experience in a similar role;
  • Proficient in speaking, writing, and reading Italian and English;
  • Developed digital skills;
  • Ability to work in an international environment;
  • Ability to deal with complexity and manage ambiguity;
  • Strong organizational skills, as well as the ability to perform under pressure and manage multiple priorities with competing demands;
  • Bachelor degree and SAP Knowledge will be considered a plus.
