Administrative Assistant - Sales (1 year contract)

This role is a 1 year fixed-term contract. The Administrative Assistant will
provide confidential administrative services to the Sr. Sales Director and Sales division and administers the corporate fleet and credit card program.

Primary Accountabilities:

  • Administrative support for the Sr Sales Director
  • Canada corporate credit card program administrator
  • Canada Fleet Manager
  • Canada Corporate Travel Coordinator and Canada Concur Subject Matter Expert (SME)
  • Canada 407 ETR Coordinator
  • Coordinate sales related meetings including; Sales Leadership Team (SLT) meetings, account planning meetings, training, etc.
  • Maintain Category Development Budget and process Sales invoices
  • Coordinate recognition awards and tracking
  • Maintain I/K/W access drives
  • Harmonize FCPC materials for monthly call with FCPC
  • Maintain strong relationships with all levels of staff in Brantford and the field and ensure concise and timely communication
  • Maintain division policy and procedure manuals and ensure that they are reviewed and updated annually.
  • Provide required on boarding material for new sales personnel as it related to; SCJ Sales Intranet, Concur, expense policies, company car expectations, reporting km’s, sales policy and procedures, office tour and introductions.
  • Maintain Sales Org Chart, Sales Directory & Global Directory.
  • Process MSOs
  • Maintain and replenish product rooms, as needed
  • Distribute anniversary cards for Sales to SLT members
  • Complete Stats Can pricing audit
  • Support Sr Sales Director with travel arrangements, providing itineraries and processing expense reports
  • Issue internal communication on behalf of Sales

Required Skills and Education:

  • Word – Intermediate Level
  • Excel – Intermediate Level
  • Power Point – Intermediate Level
  • Microsoft Outlook
  • SAP
  • Filenet
  • High school diploma required.  College diploma in related field such as Office Administration or University degree preferred.
