Business Support Specialist

As the Business Support Specialist, you are expected to assist our Supply Planning Director to ensure company goals and objectives are accomplished and operations run smoothly. You are also in charge of maintaining and refining internal processes that support the commercial leadership team and manage communication between upper management & employees, liaising with internal and external partners on projects and tasks

Essential Duties and Responsibilities:

  • Provide necessary information by collecting and analyzing data, preparing report, and drafting communications

  • Provide the meeting requirements of meetings initiated by the Functional Director (i.e. food, office supplies, room reservation, room setup, etc.)

  • Ensures travel needs of the Functional Team are met by determining the best possible routes and airlines, procuring airline tickets, making hotel and logistics arrangements & securing visa while ensuring all travel policies are complied with

  • Develop and establish good business relations with third party vendors like hotels, airlines, travel agencies, transport companies, etc.

  • Prepare Purchase Orders (POs) and process invoices to pay the company’s third-party vendors on behalf of the functional teams

  • When needed, provide operational support for migration projects and visitors like organizing meetings, events, providing lodging and ground transportation and others

  • Establish and ensure the availability of support to employees during BCP by providing food at the Makati site, lodging accommodation and transport for both Makati and warm site

  • Establish backup system for Operation Support

Required Skills / Experience / Competencies:

  • Minimum of 2 years’ experience in administrative role reporting directly to upper management

  • Experienced dealing with people from all levels of an organization from Business Leaders, Associates, Counterparts, Guests, Vendors and Service Providers, etc.

  • Experience handling multiple management projects is preferred

  • Proficiency in Microsoft Office and other office productivity tools is an advantage
