As the Executive Assistant, Administration you will provide administrative support to VP-Corporate Treasurer and his or her staff in a fast-paced environment with frequent interaction with other business divisions, external banks, and insurance brokers.
Essential Duties and Responsibilities:
- Administrative duties such as calendar management, document processing, preparation of presentations, electronic and hard copy file maintenance
- Schedule and coordinate multiple meetings, maintain calendars, and resolve calendar conflicts independently for leaders. Schedule Team meetings for participants both inside and outside SCJ, which frequently include executive level interaction
- Manage administrative aspects of department, including ordering supplies, working with Facilities and Security, and organizing documents to be transferred to Records
- Exercise extreme confidentiality in handling sensitive information. Most importantly ensuring confidential distribution of Corporate Financials to Bondholders, Rating Agencies, and Insurance providers through secure file share system (including regular audit of approved recipients with partnership of Treasury Director)
- Administer the Corporate Treasury Restricted Stock System collaborating with the Director, Treasury role. Key interactions include Legal, Corporate Accounting, Payroll, and Family Office representatives
- Execute system tasks such as common and preferred dividend processing, stock repurchases, new award issuances and other transactions
- Maintain system inputs as required such as updates for stock prices, stock statement reports, and database refresh
- Distribute reports such as dividend reports to shareholders of record
- Weekly remote deposit of non-AR check payments for one or more US companies
- Point of contact for the annual audit of certificates of insurance distribution. Work with insurance brokers for requesting new certificates of insurance throughout the year for events, new vendors, and customers
- Assist with claims processing for Global Transit losses, including requesting initial claim details, record and forward to SCJ Insurance broker for scheduling up the loss survey
- Invoice processing and tracking for Treasury and Risk Management
- Manage periodic domestic and international travel, from start of trip to end, which include shuttles, flights, hotels, passports/visas and submitting of expense reports
- Administrator of the following SharePoint sites: Global Treasury, FX Rates, Risk Management, and several insurance brokers sites
- Occasional back-up administrative assistant for the Tax department
Required Skills / Experience / Competencies:
- Minimum of 5 years administrative or equivalent experience, supporting high-level executives
- Qualified candidates must be legally authorized to work in the United States
Preferred Skills / Experience / Competencies:
- Excellent communication skills (written and verbal) as well as strong interpersonal skills required
- Forward thinker, problem solver while managing ambiguities required
- Attention to detail and accuracy as well as proactive follow-through on all tasks and projects
- Strong organization/planning skills and strong calendar management skills
- Demonstrated ability to prioritize, show initiative and independently carry out assignments by managing a diverse set of responsibilities
- Proficient working knowledge at MS Outlook (mail and calendaring), Word, Teams, Excel (important), PowerPoint, Concur, SharePoint and Access.
- Knowledge of all latest versions of Audio/Visual equipment
- Self-starter who actively seeks and accepts responsibility
- Be able to operate with minimal direction. This position needs to initiate work with the ability to remain calm and flexible, manage deadlines, adaptable to changing priorities and be able to prioritize and manage multiple demands
