ABOUT THE ROLE
The Administrative Assistant will support multi-level managers and their staff in a fast-paced, multi-business environment with continuous interaction among the Global Engineering, Global SHE and Global Quality teams. The Administrative Assistant will report to the Sr. Director of Global Engineering.
KEY RESPONSIBILITIES
Administrative duties such as calendar management, document processing, preparation of presentations, file maintenance.
Manage all domestic and international travel, from start of trip to end, which include shuttles, flights, hotels and passports/visas.
Schedule and coordinate multiple meetings, maintain calendars and resolve calendar conflicts independently for leaders. Schedule meetings, including agendas, for participants both inside and outside SCJ, which frequently include executive level interaction.
Preparation of presentation documents.
Out of the office coverage for other area administrative support within the team.
Assure that all SCJ policies and procedures are followed.
Be a key communication link between managers and those they work directly with.
Coordinate department offsites with both internal and external meeting and planning organizations.
Exercise extreme confidentiality in handling highly confidential and sensitive information.
Incumbent may be required to back-up other assistants in heavy workload situations and cover for vacations/leaves.
Create and submit expense reports and maintain records.
Detailed knowledge of creating and managing purchase orders.
Maintain files and documentation as generated by managers
SharePoint administration and management
REQUIRED EXPERIENCE YOU’LL BRING
High School Diploma or equivalent
3+ years of administrative experience
Qualified candidates must be legally authorized to work in the United States
PREFERRED EXPERIENCES AND SKILLS
Experience supporting high-level executives.
Excellent communication skills (written and verbal) as well as excellent interpersonal skills.
Ability to be a forward thinker, problem solver while managing ambiguities.
Outstanding attention to detail and accuracy as well as proactive follow-through on all tasks and projects.
Demonstrated ability to prioritize and independently carry out assignments by managing a diverse set of responsibilities in an ever-changing, client-driven environment.
Excellent working knowledge in Microsoft Suite (Word, PowerPoint, Excel, Outlook, Teams)
Strong initiative and ability to thrive in a fast-paced, flexible open work environment.
Strong self-starter who actively seeks and accepts responsibility.
Detail oriented with strong organizational skills.
Be able to perform with minimal direction. This position needs to initiate work with the ability to remain calm and flexible under pressure, adaptable to changing priorities and have the ability to prioritize and manage multiple demands.
Project Management experience a plus.
Team player with the ability to work with a variety of manager styles.
Domestic and International travel scheduling experience is favorable.
