Program Manager, Real Estate & Facilities PMO

The Program Manager engages with the Real Estate & Facilities (“RE & F”) leadership team to learn and help coordinate the work of the team. The Program Manager provides thought partnership to the Sr. Director of RE & F as well as serving as the RE & F representative on multi-functional, multi-departmental ad hoc project teams to drive exceptional workplace experience.   This position requires strong program management skills and the ability to define business processes, analyze operational efficiencies and implement creative solutions.

Essential Duties and Responsibilities:

The Facilities Associate Manager, PMO reports directly to the Sr. Director of Facilities. This role contributes to the strategic department initiatives & priorities by providing the broader organization direction and acting as a catalyst when needed and to also help connect dots when/where the teams are not. The principal deliverable for the PMO is to answer two questions: “Where are we?” and “How are we doing?” In addition, the role leads the strategic development and implementation of key initiatives such as facility branding guidelines and sustainability roadmaps.

Facilitate Decision Making to Meet Corporate Strategic Goals

  • Maintain clear understanding of RE & F strategic goals. Understand the impact of major workstreams within RE & F on the goals, and suggest necessary edits to these workstreams to better enable the organizations success

Promote Team Effectiveness

  • Work to understand RE & F team workloads and proactively predict bandwidth constraints

  • Facilitate meetings to ensure effectiveness to objectives.

  • Ensure all meetings have clear objectives, process, and deliverables.

  • Ensure execution of existing RE & F meeting cadences for operations, communication, and people development

Coordinate the Team

  • Own monthly weekly staff meeting, including agenda topics, meeting facilitation, notes, and action items.

  • Proactively define check-ins and coordination of calendars and meetings so the team stays on track to objectives.

  • Own the RE & F team meeting process and effectiveness with emphasis on preparation for all-staff and leadership meetings to ensure critical topics such as workspace experience, sustainability, etc are appropriately covered and discussed.

  • Partner in the development of key communication to the organization, as needed.

Required Skills / Experience / Competencies:

  • Bachelor’s degree required in business, technology, or related business field of study.

  • Minimum 5 years program management experience

Preferred Skills / Experience / Competencies:

  • Program Management Professional certification preferred.

  • Experience in interior architecture/design is a plus

  • Business Acumen – Understand business implications of decisions and align work with strategic goals

  • Problem Solving - Identify and resolve problems in a timely manner

  • Systemic Thinking – Anticipate issues and needs and work to build a repeatable process versus a one-off solution

  • Innovation - Display original thinking, creativity, and resourcefulness to generate innovative approaches and ideas

  • Project Management – Develop project plans, communicate changes and progress, and complete projects on time

  • Planning and Organizing – Prioritize and plan work activities; set goals and objectives

  • Technical Savvy – Leverage SharePoint, Skype for Business and other tools for efficient, effective worldwide collaboration

  • Communication – Demonstrate strong oral and written communication skills

  • Data Visualization – Create graphics to make complex topics understandable by multiple audiences

  • Facilitation – Gate keep and facilitate a process to ensure processes stay on track to deliver desired outcomes

  • Meeting Execution – Design and execute meetings and multi-day workshops to engage participants and deliver results
