Admin Executive Assistant

This position is responsible in enhancing executive effectiveness by providing Operational Support and maintaining good working environment.

Job Description:

Provide Operational Support:

  • Provide administrative support to Functional Director(s)
  • Provide e.g. food, office supplies, room reservation, room setup, etc. during meetings initiated by the Functional Director
  • Ensures travel needs of the Functional Teams are met by determining the best possible routes and airlines, procuring airline tickets, making hotel and logistics arrangements & securing visa while ensuring all travel policies are complied with
  • Develop and establish good business relations with third party vendors like hotels, airlines, travel agencies, transport companies, etc.
  • Prepare Purchase Orders (POs) and process invoices to pay the company’s third party vendors on behalf of the functional teams
  • Establish and ensure the availability of support to employees during Business Continuity Program (BCP) by providing food at the Makati site, lodging accommodation and transport for both Makati and warm site
  • Establish backup system for Operation Support
  • On a need basis:
    • Provide information by collecting & analyzing data, preparing report and drafting communications
    • Provide operational support for migration projects & visitors like organizing meetings, events, providing lodging & ground transportation

Establish good working environment:

  • Promote clean, orderly, secure working environment by maintaining & managing office supplies inventory, liaising with Facilities & Security in the housekeeping and securing offices
  • Design and Implement General Office Policies
  • Create activities for the Corporate Social Responsibility program
  • Provide support to major events in the company

Required Skills / Experience / Competencies:

  • Bachelor's in any field
  • Minimum 2 years of experience in a similar position or capacity
  • Experience in working with people from all levels of an organization, i.e. from Business Leaders, Associates, Counterparts, Guests, Vendors and Service Providers
  • Demonstrates advanced level proficiency in MS Word, Excel and PowerPoint

Job Requirements:

  • Full Time, Mondays to Fridays, 8am to 5pm
  • Overtime may be required based on critical deliverables
