Overview
The Sr. Specialist, Business Support is responsible for a wide range of activities and is based in Arese, Milano. This role acts as an Executive Assistant to the General Manager, providing support in managing the GM agenda and ensuring coordination and logistics support to the GM and is also in charge of managing HR and General Manager budgets and company associations, organizing local events and international. The roles partners with the HR team support for training plans, internal communication, engagement events and expense notes is the local superuser of Concur (booking and expense reports).
Responsibilities:
- Supporting Leadership: Assist the GM with agenda. bookings and logistics
- Budget Management and monitoring: Track expenses, serve as the first point of contact for HR/GM new vendors, and verify invoices with the Shared Service Center in UK.
- Company Associations: Handle enrollment, maintenance, and renewals of company associations.
- Event Organization: Organize company local events and international visits.
- HR Support: support the HR team in training plans administration, acting as a key contact for external partners on purchase order and invoice management.
- Expense Management: Accountable for GM expense notes. Serve as the super user of the expense notes tool (Concur) for the Italian site, responsible for training new employees and acting as escalation point on issues if needed.
- Credit Card Management: Act as first point of contact for credit card requests, training new employees and assisting with issues as needed.
- Internal communication: plan and execute internal communication
- Employee Engagement: Coordinate Great Place to Work Ambassadors to organize internal activities and events that foster engagement.
- Community Affairs: part of the CA team, ideating and coordinating charity activities throughout the year.
- Gender Equity Certification: act as internal auditor in alignment with consultant instructions
Experience you’ll bring:
- Minimum 5 years’ experience in a similar role.
- Proficient in English and Italian (both spoken and written).
- Digitally proficient and resourceful professional, attention to detail and inclination to leverage available tools to increase efficiency and effectiveness.
Behaviours you’ll need:
- Ability to work in an international environment.
- Ability to deal with complexity and manage ambiguity.
- Strong organizational skills, as well as the ability to perform under pressure and manage multiple priorities with competing demands.
- Very good Excel knowledge.
- Bachelor’s degree and SAP Knowledge will be considered a plus.
