ABOUT THE ROLE

As the Senior Administrative Assistant, you will provide administrative support to multiple Leaders in the Global & North America Procurement organizations and their teams.  This is an exciting and dynamic environment, and you must be able to demonstrate high levels of discretion, communication, organization, initiative, sense of urgency, decisiveness, and ability to work independently while remaining flexible under pressure and balancing multiple priorities.  You’ll also need to be able to partner with other department administrative assistants, vendors, and members of the team. This role also allows you to develop and enhance your skills pricing support and coordination with the Accounts Payable team.

KEY RESPONSIBILITIES

  • Calendar Management: Coordinate and maintain complex calendars for multiple leaders, including scheduling meetings, resolving conflicts, and ensuring optimal time utilization.

  • Travel Coordination: Arrange domestic and international travel, including booking flights, accommodations, necessary visas, ground transportation, and preparing detailed itineraries and expense reports.

  • Meeting and Event Support: Help plan and execute large meetings and team events, including logistics, catering, technology setup, and help curate meeting content. Support key business routines through managing meeting agendas, content, and action logs.

  • Office Logistics and Moves: Organize and manage office moves, including coordination with facilities and communication with impacted teams.

  • Administrative Pricing Support: Support pricing processes including data requests and entry, system maintenance, exception management, PO creation.

  • Administrative Accounts Payable Support: Collaborate with the AP team to ensure timely payments to vendors, monitor aging reports, assist in resolving outstanding payables and respond to vendor inquires regarding payment status.

  • General Administrative Support
    Provide day-to-day administrative assistance including ordering supplies, managing shared inboxes, and other ad hoc tasks as needed by the teams you support.

REQUIRED EXPERIENCE YOU’LL BRING

  • High School Diploma or equivalent

  • 7+ years of administrative experience

  • Qualified candidates must be legally authorized to work in the United States without the need for current or future sponsorship for full-time employment.

PREFERRED EXPERIENCES AND SKILLS

  • Ability to efficiently manage multiple projects and competing priorities with strong time-management skills and the ability to quickly adapt to a changing business landscape

  • Excellent interpersonal savvy skills to maintain and develop successful relationships with both internal and external clients with the ability to work with all levels of the organization

  • Attention to detail and accuracy with excellent written and verbal communication skills

  • Strong decision quality when managing calendars while understanding the difference between urgent and important

  • Demonstrate ability to exercise extreme confidentiality with sensitive topics

  • Proficient in Microsoft Office, Excel (pivot tables) and PowerPoint and have a bias toward adopting technology solutions to drive efficiency in your work.

  • Ability to learn/master standard and ad-hoc reporting

  • Experience with Concur preferred and SAP vendor management

  • Candidates should be willing to work overtime as needed

  • The position is not eligible for relocation

  • This role is not eligible to work from home
