ABOUT THE ROLE
As Administrative Assistant (and Business Services Administration Specialist), you will support the Senior Director of the Corporate Accounting team and manage the calendar. You will also perform a variety of tasks/activities in support of the broader team and the Company’s financial reporting processes.
To excel in this role, you must be proactive and bring your attention to detail to effectively manage priorities with accuracy and a sense of urgency. Given the nature of the team’s work, flexibility is essential, along with the ability to manage highly sensitive and confidential information. Your efforts will contribute to the team’s smooth and efficient operations.
KEY RESPONSIBILITIES
Administrative Support:
Manage administrative needs of department, including ordering supplies/equipment, requests for facilities support, coordinating department meetings and off-sites (IT needs, catering, agenda-setting support, etc.)
Support onboarding/offboarding of new team members, including IT and office set up
Book travel and submit expense reports
Coordinate documentation requirements for vendor set up and updates
Prepare and issue invoicing and compile any necessary supporting documentation
Track and deposit rental income
Financial Reporting Support:
Review and administer SharePoint access per guidelines
Administer access requests to global LeaseController software
Support the year end close process by collecting and organizing forms submitted by global subsidiaries
Perform basic transaction processing within SAP and related systems
REQUIRED EXPERIENCE YOU’LL BRING
High School Diploma or equivalent
2+ years of administrative experience preferably in a corporate environment
Qualified candidates must be legally authorized to work in the United States
PREFERRED EXPERIENCES AND SKILLS
Clerical/administrative office support from a large, complex corporate environment
Strong written and verbal communication skills
Strong organization, time management, and ability to effectively work in a deadline sensitive environment
Ability to exercise confidentiality and appropriately handle sensitive information
Attention to detail; interest in process improvements
SAP or other financial platforms, Sharepoint, MS applications
JOB REQUIREMENTS
This position is located at our corporate headquarters on Howe Street in Racine
Full Time 40 hours per week, Monday through Friday business hours
This role is not eligible for remote work
This role is not eligible for relocation
